ITEM SUMMARY

RFB No. 2020-0638-B for Utility Body Pickup Trucks for Fleet Services to be used by various departments to Reliable Chevrolet for one (1) truck in the amount of $46,239; to Caldwell Country Chevrolet for two (2) trucks in the amount of $84,250; and to Huffines CJDR Lewisville for two (2) trucks in the amount of $112,285; for a total amount of $242,774; and authorizing the City Manager to execute all necessary documents. Approved

BACKGROUND

It is the recommendation of Fleet Services to purchase one (1) One-ton Crew Cab Dual Rear Wheel Pickup with Utility Body and 2,000 Lb. Crane in the amount of $46,239 from Reliable Chevrolet; one (1) One-ton Extended Cab Single Rear Wheel Pickup with Deep Compartment Utility Body and one (1) One-ton Crew Cab Dual Rear Wheel Pickup with Utility Body in the amount of $84,250 from Caldwell Country Chevrolet; one (1) One-ton Regular Cab Dual Rear Wheel Pickup with 132” Utility Body and one (1) 1.5-ton Crew Cab Dual Rear Wheel Pickup with Utility Body and 4,000 Lb. Crane in the amount of $112,285 from Huffines CJDR Lewisville; the lowest responsive, responsible bidders from Solicitation 2020-0638-B Utility Body Pickup Trucks.

 

These units are scheduled replacements from Capital Outlay FY19-20 for unit 12318 Truck Pickup, One Ton Utility Body, Dual Rear Wheel in Cost Center 471 Municipal Drainage Operations; unit 09305 Truck Pickup, ¾ Ton in Cost Center 646 Grounds Maintenance Services; unit 08352 Truck Pickup, One Ton, Utility Body, Dual Rear Wheel in Cost Center 744 Signs and Markings; unit 12312 Truck Pickup, 1 ½ Ton, Utility Body, Crane in Cost Center 765 Meter Services; and unit 12303 Truck Pickup, One Ton, Utility Body, Crew Cab, Dual Rear Wheel in Cost Center 767 Utility Cut Services.  Due to operational demands, it is necessary to purchase at this time.

 

The purchase of these units is necessary for the following reasons:

 

1. These units are essential to these departments’ daily operations and are required to maintain current service levels.

 

2. The old units are in need of replacement.  The determination for the need of replacement is based on age, usage, maintenance cost, and re-sale value.  Based on these criteria, Fleet Services recommends the replacement of the above units.

 

3. If these units are not replaced, we will incur additional maintenance costs and the salvage values will be greatly depreciated.  In addition, the older, aging units will limit the users’ ability to perform their duties because of increased breakdowns and additional downtime for repairs.

FINANCIAL SUMMARY/STRATEGIC GOALS

Funds are available in the FY 2019-20 Adopted budget to purchase one (1) One-ton Crew Cab Dual Rear Wheel Pickup with Utility Body and 2,000 Lb. Remaining balance will be used for other Fleet and Equipment Services.

 

Approval of this agenda item will support the City's Strategic Plan Critical Success Factors of being an Excellent, Innovative, and Accountable City Government as well as Multi-Modal Transportation and Mobility Solutions.
