To approve the purchase of Cisco Smartnet support and maintenance for a one (1) year contract with four (4) one-year automatic renewals for Technology Services in the estimated annual amount of $147,351 from CDW Government Inc. through existing contracts; and authorizing the City Manager to execute all necessary documents. Technology Services proposes purchasing Cisco SmartNet support and maintenance for the City of Plano’s Cisco networking systems from CDW Government Inc. This maintenance will provide software upgrades as well as technical support directly from Cisco.  Currently, this support is essential for ensuring the integrity and reliability of our data network system. This support includes the City of Plano’s Cisco branded switches, routers, firewalls and wireless access points.

Purchasing requested quotes from other vendors and CDW Government Inc. was the lowest of the quotes received. An award to CDW Government Inc. will be based on contracts DIR-TSO-4167 and National IPA Technology Solutions (NIPA) (2018011-01) in the total estimated amount of $814,207.  The initial coverage term will be from December 1st 2020 until November 30th 2021 at $147,351 followed by four (4) one-year automatic renewals at an estimated $154,719 for year two, $162,454 for year three, $170,577 for year four, and $179,106 for year five.

If the City of Plano does not purchase these support services Technology Services would not be able to ensure the continuity of data network services.

The City is authorized to purchase from a cooperative purchasing program with another local government or a local cooperative organization pursuant to Chapter 271 Subchapter F of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. This item approves price quotes.  Funding for this item is available in the 2020-21 Infrastructure Budget.  This request is for a one-year contract with four (4) one year automatic renewals to purchase annual maintenance and support for Cisco SmartNet, in the estimated amount of $147,351, which will leave a remaining balance of $3,194,064 in the 2020-21 Infrastructure Budget for other maintenance expenditures.  Future year expenditures are dependent on contract renewals in the annual estimated amount of $154,719 for FY 2021-22; $162,454 for FY 2022-23; $170,577 for FY 2023-24; and $179,106 for FY 2024-25. All future year expenditures will occur within council approved appropriations.
