To ratify Motorola services provided and approve the purchase of a five (5) year Motorola Service Agreement for the Radio System.

RECOMMENDED ACTION:Approval of Expenditure

ITEM SUMMARY

To ratify the expenditure for services provided in the first two (2) months of a Motorola Service Agreement for the Radio System in the amount of $108,975 and approve an expenditure for a five (5) year Motorola Service Agreement for the Radio System in the total amount of $3,471,261 from Motorola Solutions, Inc. for the Technology Services Radio Shop; and authorizing the City Manager to execute all necessary documents. Approved

BACKGROUND

Technology Services proposes purchasing Motorola’s Software Upgrade Agreement and Maintenance for the City of Plano’s Motorola Public Safety Radio System from Motorola Solutions, Inc. This maintenance will provide software upgrades as well as technical support directly from Motorola.  Currently, this support is essential for ensuring the integrity and reliability of our radio system that supports critical communication for our first responders.

 

An award to Motorola Solutions, Inc. will be in the amount of $3,471,261.  The coverage term will be from October 1, 2020 until September 30, 2025.  The first two months of the Motorola Service Agreement is being ratified in the amount of $108,975 and is included in the first annual payment of $653,853 followed by 4 annual payments of $674,980 for year two, $708,729 for year three, $699,365 for year four, and $734,334 for year five.

 

If the City of Plano does not purchase these support services Technology Services would not be able to ensure the continuity of the public safety radio system for our first responders.

 

The City is exempt from the competitive bid process for this purchase as allowed by Texas Local Government Code Chapter 252 Subchapter B Section 252.022(a)(7)(A). (City of Plano Internal Contract No. 2021-0108-XR)

FINANCIAL SUMMARY/STRATEGIC GOALS

Funding for this item is available in the 2020-21 Technology Services Fund.  This request is for a five (5) year agreement to be paid annually to purchase Motorola's Software Upgrade Agreement and maintenance for the City of Plano’s Motorola Public Safety Radio System, in the amount of $653,853, which will leave a remaining balance of $88,226 in the 2020-21 Radio Shop Budget for other maintenance expenditures.  Future year expenditures are in the annual amount of $674,980 for FY 2021-22; $708,729 for FY 2022-23; $699,365 for FY 2023-24; and $734,334 for FY 2024-25. All future year expenditures will occur within council approved appropriations.
