To approve the purchase of Dump Body Pickup Trucks for various departments.

RECOMMENDED ACTION:Award/Rejection of Bid/Proposal

ITEM SUMMARY

RFB No. 2021-0148-B for Dump Body Pickup Trucks for Fleet Services to be used by various departments to Grapevine DCJ for one (1) one-ton regular cab with rigid sided dump bed in the amount of $45,782 and to Reliable Chevrolet for one (1) one-ton regular cab with platform body and dump hoist in the amount of $45,801, for a total amount of $91,583; and authorizing the City Manager to execute all necessary documents. Approved

BACKGROUND

It is the recommendation of Fleet Services to purchase one (1) One-ton Regular Cab with Rigid Sided Dump Bed Pickup Truck in the amount of $45,782 from Grapevine DCJ and one (1) One-ton Regular Cab with Platform Body and Dump Hoist Pickup Truck in the amount of $45,801 from Reliable Chevrolet, the lowest responsive, responsible bidders from Solicitation 2021-0148-B.

 

These units are scheduled replacements from Capital Outlay FY20-21 for unit 08334 Truck Pickup, 1 Ton, Flat Bed Dump in Cost Center 643 Park Support Services and unit 08314 Truck Pickup, ¾ Ton, Extended Cab in Cost Center 649 Natural Resources.  Due to operational demands, it is necessary to purchase at this time.

 

The purchase of these units is necessary for the following reasons:

 

1. These units are essential to these departments’ daily operations and are required to maintain current service levels.

 

2. The old units are in need of replacement.  The determination for the need of replacement is based on age, usage, maintenance cost, and re-sale value.  Based on these criteria, Fleet Services recommends the replacement of the above units.

 

If these units are not replaced, we will incur additional maintenance costs and the salvage values will be greatly depreciated.  In addition, the older, aging units will limit the users’ ability to perform their duties because of increased breakdowns and additional downtime for repairs.

FINANCIAL SUMMARY/STRATEGIC GOALS

Funds are available in the FY 2020-21 Adopted Equipment Replacement Fund budget to purchase one (1) one-ton Regular Cab with Rigid Sided Bed Pickup Truck in the amount of $45,782 from Grapevine DCJ for the replacement of unit 08334 in Park Support Services cost center and one (1) one-ton Regular Cab with Platform Body and Dump Hoist Pickup Truck in the amount of $45,801 from Reliable Chevrolet for the replacement of unit 08314 in Park Natural Resources cost center.  The total budgeted amount for both of these items was $110,000.  The remaining balance of $18,417 will be used for other Fleet and Equipment Replacement purchases.  

 

Approval of this purchase will support the City's Strategic Plan Critical Success Factors of being an Excellent, Innovative, and Accountable City Government as well as Multi-Modal Transportation and Mobility Solutions.
