ITEM SUMMARY

RFP No. 2021-0235-AC for a one (1) year contract with four (4) automatic one-year renewals for printing of Live Green in Plano newsletter for Environmental Health & Sustainability to AC Printing, LLC in the estimated annual amount of $50,256; and authorizing the City Manager to execute all necessary documents. Approved

BACKGROUND

The Sustainability & Environmental Education Division (SEED) of the Environmental Health & Sustainability department is responsible for coordinating and implementing sustainability initiatives and environmental education programs organizationally and community-wide. Associated community engagement is accomplished through outreach to all audiences on water, energy, air quality, recycling, composting, gardening, green building, litter abatement and sustainable lifestyle practices. SEED reaches Plano residents through a variety of methods including public events, live and virtual classes and programs, print newsletters, electronic newsletters and social media.

 

This request for proposal was to establish a contract for printing services for the Live Green in Plano News. This is a full-color booklet distributed three times per year to residents of the City of Plano in March, June, and October. The newsletters are used to provide information to Plano residents on activities conducted by the SEED team, as well as other sustainability news.

 

Proposals were solicited using a request for proposal (RFP) selection process. Through the RFP selection process, the evaluation team identified the vendor that meets the requirements of the project and provides the best value. The combined technical and cost score resulted in AC Printing, LLC receiving the highest score. AC Printing, LLC has relevant experience and has been printing the LGIP newsletter since 2017. Staff recommends award of this RFP to AC Printing, LLC.

 

If not approved, SEED will be unable to provide Live Green in Plano News to city residents and the community engagement and outreach SEED is responsible for will be negatively impacted.

FINANCIAL SUMMARY/STRATEGIC GOALS

Funding for this item is available in the 2020-21 Environmental Education & Community Outreach budget.  This contract will be a one-year initial term with four (4) one-year renewal terms.  The total cost of the contract is $201,024.  The annual financial breakdown is:  2020-21 $16,752; 2021-22 $50,256; 2022-23 $50,256; 2023-24 $50,256; and 2024-25 $33,504. Funding for future year expenditures will be available in the Environmental Education & Community Outreach budget and will occur within Council approved appropriations. 

 

Approval of this agenda item supports the City's Strategic Plan Critical Success Factor of Excellent, Innovative, and Accountable City Government.
