Award RFB No. 2021-0446-B for Three-quarter-ton Crew Cab Pickup Trucks

RECOMMENDED ACTION:Award/Rejection of Bid/Proposal

ITEM SUMMARY

RFB No. 2021-0446-B for Three-quarter-ton Crew Cab Pickup Trucks to be used by various departments to Caldwell Country Chevrolet in the amount of $130,031; and authorizing the City Manager to execute all necessary documents. Approved

BACKGROUND

It is the recommendation of Fleet Services to purchase four (4) Three-quarter-ton Crew Cab Pickup Trucks in the amount of $130,031 from Caldwell Country Chevrolet, the lowest responsive, responsible bidder from Solicitation 2021-0446-B.

 

Three (3) units are scheduled replacements from Capital Outlay FY2020-21 for unit 06319 Truck Pickup, ¾ Ton, Extended Cab, Utility Body in Cost Center 646 Grounds Maintenance Services; unit 06349 Truck Pickup, ¾ Ton, Extended Cab in Cost Center 648 Grounds Maintenance Services District 2; and unit 11313 Truck, Pickup ½ Ton, Extended Cab in Cost Center 764 Pumping Facilities.  One (1) unit is an approved new addition from Capital Outlay FY2020-21 in Cost Center 648 Grounds Maintenance Services District 2.  Due to operational demands, it is necessary to purchase at this time.

 

The purchase of these units is necessary for the following reasons:

 

1. These units are essential to these departments’ daily operations and are required to maintain current service levels.

 

2. Grounds Maintenance Services District 2 requires a truck to carry an existing skid mount sprayer for non-selective herbicide treatments to median and right of way pavers and walls.  This truck is also needed to pull a mobile sprayer for park herbicide treatments and a two-ton spreader for fertilizer treatments to 135 acres of irrigated parks within the district.  Currently, a supervisor truck must be borrowed to carry out these tasks.

 

3. If these units are not replaced, we will incur additional maintenance costs and the salvage values will be greatly depreciated.  In addition, the older, aging units will limit the users’ ability to perform their duties because of increased breakdowns and additional downtime for repairs.

FINANCIAL SUMMARY/STRATEGIC GOALS

Funds are available in the 2020-21 Adopted Budget to purchase four (4) Three-quarter-ton Crew Cab Pickup Trucks in the amount of $130,031 from Caldwell Country Chevrolet for the scheduled replacements of unit 06319 Truck Pickup, ¾ Ton, Extended Cab, Utility Body in Cost Center 646 Grounds Maintenance Services, unit 06349 Truck Pickup, ¾ Ton, Extended Cab in Cost Center 648 Grounds Maintenance Services District 2, unit 11313 Truck, Pickup 1/2 Ton, Extended Cab in Cost Center 764 Pumping Facilities, and one (1) approved new addition in Cost Center 648 Grounds Maintenance Services District 2. The remaining balance of $35,225 will be used for other Fleet and Equipment Replacement purchases.

 

Approval of this purchase will support the City's Strategic Plan Critical Success Factors of being an Excellent, Innovative, and Accountable City Government.
