RECOMMENDED ACTION:Purchase from Existing Contract

ITEM SUMMARY

To approve the purchase of Furniture for Environmental Health in the estimated amounts of $108,913 from Plano Office Supply Co., $2,542 from McKinney Office Supply, Inc., and $8,229 from Capitan Holdings, LLC dba Office Furniture Source, for a total of $119,684 through existing contracts; and authorizing the City Manager to execute all necessary documents. (Collin College Contract No. 2021-192, BuyBoard Contract No. 584-19, and TIPS Contract No. 210305) Approved

 

 

 

BACKGROUND

Facilities has reviewed the bids submitted for the Environmental Health Furniture.  Seven (7) responses were received with (2) no bids. We recommend award to the lowest responsive, responsible bid via a split award to Plano Office Supply Co. for the HON Furniture in the amount of $108,912.59, McKinney Office Supply, Inc. for the JSI Furniture in the amount of $2,541.73, and Capitan Holdings, LLC dba Office Furniture Source for the Maverick Custom Storage Cabinets in the amount of $8,229.39 for a total amount of $119,683.71. 

 

The existing furniture at Environment Health is at the end of its life expectancy and has deteriorated such that replacement is needed in order to maintain its appearance to the public. 

 

The funding for the project is in CMF 54424.

 

The City is authorized to purchase from a cooperative purchasing program with another local government or a local cooperative organization pursuant to Chapter 271 Subchapter F of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. (Collin College Contract No. 2021-192, BuyBoard Contract No. 584-19, TIPS Contract No. 210305, City of Plano Contract No. 2021-0510-O).

FINANCIAL SUMMARY/STRATEGIC GOALS

Funding for this item is available in the 2020-21 Capital Maintenance Fund Budget.  Replacement of furniture in the Environmental Health suite that has reached the end of its life expectancy, in the total estimated amount of $119,684, will leave a current year balance of $71,951 for future Municipal Center expenditures.

 

Approval of this item will support the City's Strategic Plan Critical Success Factor of being an Excellent, Innovative, and Accountable City Government.
