ITEM SUMMARY

To approve the purchase of four (4) Motorola MCC 7500E Dispatch Consoles, software, installation services, and maintenance for a five (5) year term for the Public Safety Communications (PSC) Department in the amount of $578,628 from Motorola Solutions, Inc. through an existing contract; and authorizing the City Manager to execute all necessary documents. (HGAC Contract No. RA05-21) Approved

BACKGROUND

The Public Safety Communications (PSC) Department utilizes Motorola MCC 7500E Dispatch Consoles at our primary site to communicate with emergency responders.  PSC and the Technology Services Department recommend award of the purchase of four (4) Motorola MCC 7500E Dispatch Consoles to communicate with emergency responders from our alternate/backup dispatch center.  This purchase is inclusive of hardware, software, installation services, and four (4) additional year’s maintenance to Motorola Solutions, Inc. in the total amount of $578,628 ($456,519 for the total system purchase and installation, and $122,109 for maintenance).

 

PSC worked closely with the City of Plano Radio Shop to identify the solution needed.  The Radio Shop maintains a P25 radio console network.  The P25 system currently in place is provided by Motorola Solutions, Inc.  Each component of the system is proprietary, and will not allow any diversity within the network.

 

As indicated above, this award includes the purchase of the hardware, software, installation services, and maintenance for the four (4) radio consoles.

 

The radio consoles are being ordered as equipment to be used and placed at our alternate/backup dispatch site at the Emergency Operations Center.  If it is not awarded, the dispatchers will not receive critical emergency activation notifications and radio identifiers from field personnel while working at our alternate site.

 

The City is authorized to purchase from a cooperative purchasing program with another local government or a local cooperative organization pursuant to Chapter 271 Subchapter F of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. FINANCIAL SUMMARY/STRATEGIC GOALS

Funding for this item is available in the 2021-22 Technology Improvements CIP Fund. This request is to purchase four (4) Motorola MCC 7500E Dispatch Consoles including software, installation services, and maintenance from Motorola Solutions, Inc., in the amount of $578,628, which will leave a remaining balance of $76,692 in the Technology Improvements CIP Fund for other project expenditures.
