Technology Services recommends the purchase of Rubrik data protection to replace aging hardware. This purchase includes hardware, licensing, and maintenance support. An award to Freeit Data Solutions through the State of Texas Department of Information Resources under DIR Contract No. DIR-CPO-4795 for the term of five (5) years to replace aging hardware will be in the estimated total amount of $1,346,096.
Rubrik was purchased in 2018 to replace our legacy backup solution, Commvault, reducing our server footprint from over 30 servers to 6 appliances. In addition to improving efficiency in administering the City's data protection, Rubrik provides an additional layer of security by storing the backup data in a format that is not susceptible to modern day ransomware.
The refresh provides access to ongoing necessary software version releases and improvements that are required to remain in alignment with the technologies that are being protected. This ensures the protection and recovery of critical data for city services with added performance and reliability of supported updated technology hardware. The support is essential for ensuring the backup, recovery, and continuity of all enterprise and Public Safety systems.
This purchase, if approved, will replace the current hardware that will be end of life in October 2022. If the hardware is not refreshed the aging hardware will go unsupported by the vendor and will not meet the requirements for future software releases and be at risk for hardware failure putting the ability to ensure recovery from an event at risk.
The City is authorized to purchase from the State Contract list pursuant to Chapter 271 Subchapter D of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. (DIR Contract No. DIR-CPO-4795 / City of Plano Internal Contract No. 2022-0529-O). The Purchasing Department researched multiple cooperative contracts seeking additional vendors that could provide the needed services. One (1) additional vendor was identified and Purchasing requested a quote but did not receive a response.
