ITEM SUMMARY

To approve the purchase of Harrington Library Furniture for the Engineering - Facilities Division in the estimated amounts of $8,260 from GL Seaman Company, $29,129 from Wilson Office Interiors, LLC, $43,106 from Facilitech, Inc. dba Business Interiors, $136,634 from Libra-Tech Corporation, and $221,460 from Plano Office Supply Inc., for an estimated total of $438,589 through existing contracts; and authorizing the City Manager to execute all necessary documents. (Sourcewell Contract No. 121919-KII, Omnia Contract No. R191811, TIPS Contract Nos. 180305, 210305 & 200301) Approved

BACKGROUND

The Purchasing Department solicited the complete furniture package for the Harrington Library Remodel.  Five (5) responses were received.

 

The furniture package includes tables, chairs, collaboration furniture, lounge furniture, and storage pieces. There were a total of seventeen (17) manufacturers’ products specified and the bid packages were separated by manufacturer. Our recommendation is for each manufacturers’ package to be awarded to the lowest responsive, responsible bid for that package. This results in a split award to five (5) vendors:  

- Facilitech, Inc. dba Business Interiors for $43,106

- Wilson Office Interiors, LLC for $29,129

- GL Seaman Company for $8,260

- Plano Office Supply Inc. for $221,460

- Libra-Tech Corporation for $136,634

 

The total amount of the complete furniture package is $438,589.  If this purchase is not approved the final step of the renovation cannot be completed and the new programmed areas cannot be used.

 

The funding for the project is in CIP 17172 Harrington Library Expansion and Remodel.

 

The City is authorized to purchase from a cooperative purchasing program with another local government or a local cooperative organization pursuant to Chapter 271 Subchapter F of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. (Sourcewell 121919-KII, Omnia R191811, TIPS 180305, 210305 & 200301, City of Plano 2022-0687-O)

FINANCIAL SUMMARY/STRATEGIC GOALS

Funding for this item is available in the 2022-23 Library Facilities CIP and Capital Maintenance Fund.  Furniture for the Harrington Library Expansion and Remodel project, in the total estimated amount of $438,589, will leave a current year balance of $61,411 for future project expenditures.

 

Approval of this item will support the City's Strategic Plan Critical Success Factor of being an Excellent, Innovative, and Accountable City Government.
