To approve the purchase of Generator Maintenance and Repair Services for five (5) Cummins generators for a three (3) year contract for Fleet Services in the estimated total amount of $188,246 from Cummins Southern Plains LLC through an existing contract; and authorizing the City Manager to execute all necessary documents. (Sourcewell Contract No. 092222-CMM) Approved

It is the recommendation of Fleet Services to acquire generator maintenance and repair services for five (5) Cummins generators from Cummins Southern Plains LLC through Sourcewell Contract No. 092222-CMM.  The contract term is for three years.  The total estimated expenditure for preventative maintenance services for the three-year term of the contract is $98,246 and the total estimated expenditure for unforeseen damage, necessary repairs, and recommended upgrades to electronics resulting from these inspections for the three-year term of the contract is $90,000 for a total estimated expenditure of $188,246.

This contract for generator maintenance and repairs is necessary for the following reasons:

1.    Preventative maintenance and repair services will provide maximum availability of generators and minimize unscheduled repairs.

2.    Preventative maintenance and repair services will increase the life expectancies of the generators.

3.    Lack of a preventative maintenance program will risk breakdowns of generators at inopportune times and decrease generator life expectancy.

The City is authorized to purchase from a cooperative purchasing program with another local government or a local cooperative organization pursuant to Chapter 271 Subchapter F of the Texas Local Government Code and by doing so satisfies any State Law requiring local governments to seek competitive bids for items. (Sourcewell Contract No. 092222-CMM and the City of Plano Contract No. 2023-0609-OA)

This item approves a three (3) year contract for generator maintenance and repair services with Cummins Southern Plains LLC.  Expenditures will be made in the Equipment Maintenance Fund within the approved budget appropriations for each year of the contract. The total estimated expenditure for preventative maintenance services for the three (3) year term is $98,246. The total estimated expenditure for unforeseen damage, necessary repairs, and recommended upgrades to electronics resulting from these inspections for the three (3) year term is $90,000, for an overall estimated contract total of $188,246.
